Position Summary

 

  • The Sales Support Specialist is responsible for providing support to the U.S. Sales Team and serving as the primary link between Sales, customers, and company’s operational facilities in Lachine and Vermont.
  • The role coordinates customer-related information for the Sales team and their respective accounts, working closely with cross-functional teams including Production, Planning, Logistics, R&D, Quality, and Regulatory Affairs. The Sales Support Liaison ensures that customer requirements are clearly communicated internally, orders and projects progress according to plan, and any issues or changes that may impact production or delivery are communicated promptly.
  • This position plays a key role in maintaining strong customer relationships and ensuring the timely and successful execution of customer orders and projects.

 

Responsibilities

 

  • Act as the key liaison between Sales, customers, and internal teams, managing inquiries, resolving issues, and providing accurate account and order updates.
  • Support new customer onboarding and customer meetings, audits, and trials while ensuring requirements, agreements, and follow-up actions are clearly communicated and maintained.
  • Manage customer orders from receipt through delivery by coordinating with Planning, Purchasing, Production, and Logistics.
  • Monitor schedules, materials, and production progress while proactively communicating delays or changes to ensure orders are completed and delivered on time.
  • Coordinate customer projects with R&D, follow up on formulas, specifications, and product development requirements, and ensure relevant information is communicated effectively to R&D and Sales teams.
  • Coordinate with Quality and Regulatory teams to manage product specifications, packaging, artwork approvals, BOMs, and required documentation.
  • Act as a liaison between Sales, Purchasing, customers, and regulatory authorities to resolve quality issues and ensure compliance with FDA and export requirements.
  • Track finished-goods inventory, product usage, and customer-supplied packaging to ensure materials are available for scheduled production.
  • Maintain weekly inventory reports and proactively communicate shortages, backorders, and fulfillment issues to Sales and customers.
  • Maintain accurate customer pricing, documentation, purchase orders, and chargebacks, ensuring all information is current and properly recorded.
  • Prepare reports, account information, and status updates for Sales while supporting effective cross-department communication and follow-up.

 

Requirements:

 

  • DEC in Business Administration or a related field.
  • Minimum of 3–5 years of relevant experience in account management, sales support, customer service, or a similar role, preferably within a manufacturing environment.
  • Strong ability to coordinate multiple priorities and make sound decisions in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills with excellent attention to detail.
  • Strong interpersonal skills with the ability to build and maintain effective internal and external working relationships.
  • Demonstrated ability to work effectively under pressure and manage changing priorities.
  • Strong problem-solving and follow-up skills.
  • Proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
  • Bilingual in French and English, both written and spoken.
